Overview

A top volunteering organization recognized the need to update its Member Management System (MMS) to keep up with the changing demands of its departments. The existing MMS lacked the necessary scalability and features, leading to its underuse. This prompted the organization’s board to seek a new, comprehensive MMS solution that could adequately support the organization’s growth and the varied requirements of its departments.

Our approach was thorough and specifically tailored to address the unique requirements of the organization. We initiated the process with a comprehensive needs assessment, conducting detailed interviews and workshops with stakeholders from all departments. This enabled us to understand their specific needs and identify common features that would benefit the organization as a whole.

Utilizing the insights gained, we crafted a detailed scope and specification document that outlined the essential system features, processes, and integration needs, ensuring alignment with the organization’s strategic goals. A Requirement Specification Document (RSD) was then developed to capture all departmental needs, proposed features, and system requirements for the new Member Management System (MMS), guaranteeing that no aspect was overlooked. To ensure a seamless transition for all departments, we devised a strategic process integration plan that would align the new system with existing workflows and processes.

Additionally, we produced a development roadmap, providing the technical team with a step-by-step guide that detailed the development phases, feature rollout priorities, and benchmarks for success, facilitating a structured and efficient development process.
