WORKFLOW AUTOMATION

Workflow Automation & System Design

Most businesses don’t have a software problem. They have a “how the work actually moves” problem. We map how a task travels through your business — then rebuild it so the repetitive, manual, error-prone parts run on their own.

WHAT IT IS

Design the system first.
Automate it second.

Most businesses don’t have a software problem. They have a “how the work actually moves” problem. Workflow Automation & System Design is about mapping how a task travels through your business — from the first email to the final sign-off — and rebuilding it so the repetitive, manual, error-prone parts run on their own.

We design the system first and automate it second, so you’re not just bolting speed onto a broken process.

Technology is only an instrument. Our job isn’t to sell you software — it’s to find the right instrument for your situation.

WHEN YOU NEED IT

When You Need Workflow Automation

You need this when your team spends more time updating spreadsheets, chasing approvals, and re-entering the same data than doing the work you hired them for.

01

Five sources of truth

Information lives in five places and none of them agree — so every decision starts with a reconciliation.

02

Nothing moves on its own

Nothing happens without someone manually pushing it along. Progress depends on who remembered to chase.

03

The process is in one head

Every new hire takes months, because the “process” only exists in one person’s memory.

HOW WE APPROACH IT

We map the business as it really runs —
then automate what earns it.

We start by mapping how your business actually works — not the tidy version on the org chart. We find the handoffs that leak time and money, then design the workflow around the technology that fits you best.

01
Map how the work actually moves

Not the org chart version — the real path a task takes, including the workarounds nobody documented.

02
Find where time and money leak

We isolate the handoffs that stall, duplicate, or quietly cost you, and put a number against each.

03
Decide what to automate — and what shouldn’t be

Some steps genuinely need a human. We separate those from the ones a system should be handling.

04
Lay out the technology options

Which tools or custom build would do the job most efficiently — presented so you can judge them yourself.

05
Implement only the best fit, in stages

Built piece by piece, each one proven before the next, and documented so it never depends on one person.

The built automation itself

The connected, working automation, implemented in stages and proven at each step.

Instructions your team can follow

Documentation written for the people who use it, not for the people who built it.

WHAT CHANGES FOR YOU

What Changes For You

Without it

Your people are the glue holding disconnected tools together — copying, chasing, and correcting, while the business quietly pays for every manual step. Growth means hiring more people to manage the mess.

With it

The routine runs itself. Work moves through your business without someone pushing it, your team gets their hours back for the things only people can do, and growth stops meaning “hire more people to manage the mess.”

FAQ

Workflow automation questions we get asked

How long does a workflow automation project take?

It depends on how many workflows are in scope, but we deliberately work in stages. You typically see the mapped workflow and prioritised plan within the first few weeks, then each automation goes live as it is proven — so value arrives before the whole programme is finished.

Do we have to replace our existing software?

Usually not. We start from what you already have and only recommend replacing something when keeping it costs more than changing it. The technology options are laid out with the trade-offs so the decision stays yours.

What if our processes aren’t documented anywhere?

That is the normal starting point, and part of what the engagement fixes. We map how the work actually moves by following it through your team — the documentation is an output of the project, not a prerequisite for it.

How do you decide what to automate and what to leave to people?

Automation earns its place where work is repetitive, rule-based and high-volume. Judgement, relationships and exceptions stay with people. We separate the two explicitly before building anything, so you are not automating decisions that need a human.

Not sure which one you need?

That’s exactly the right starting point. Book a first consultation and we’ll show you where your operations are slowing you down or costing more than they should — and what’s worth fixing first.
